How do I create a data extract job using a Custom Report template?

A custom report data extract job uses an already existing Custom Report template to create a data extract job that is scheduled to run at a specified time interval and transmit data to a remote Secure File Transfer Protocol (SFTP) location. This article describes how to create a new data extract job using a custom report.

1. Click My Data Extracts

  1. On the Icon Bar, click the Review button.
  2. Click Reports to expand the menu, then click My Data Extracts.

2. Click Add Report

  • Click Add Report.

3. Click See List

  • Click the See list hyperlink to expand the list of Custom Reports templates.

4. Select Custom Report Template

  • Click the name of the Custom Report template you want to use.

5. Enter Report Details and Schedule

  1. Enter report details and schedule information.
  2. Click Save.

Name: The name of the custom report data extract job.

Template: The name of the custom report template associated with the custom report data extract job.

Remote Location: The remote location where the data extract file(s) will be saved. The locations available in this drop-down menu are configured by an Administrator. See the article How do I add a new remote site? for more information.

Default action: This setting is not applicable to custom report data extract jobs.

Description: The description is optional but can be helpful for those that want to understand what the information in the custom report data extract job will present.

Calendar: If applicable, this field will display any alternative calendars that have been loaded into PowerSteering.

Frequency: This option is used to schedule custom report data extract jobs to run and transmit extract file(s) automatically. You can select a frequency of Daily, Weekly, or Monthly.

Format: The file format that the custom report information will be transmitted in. The only file format available for data extract jobs is comma-separated value (CSV).

Zip Attachment: Select this check box to compress the custom report data extract files.

6. Set Data Extract Frequency

  • Click Frequency, select an option from the list.

6.1. Select Daily

  • Click Frequency, select Daily. Once you select your start date, you can have the data extract job run on a daily interval of X number of days or every weekday.

Note: PowerSteering will let you set an end date but there is an additional limit on how long a data extract job can run automatically. This is to ensure that data extracts being sent automatically are reviewed and refreshed periodically. Data extract jobs set to the sending frequency of "Daily" are allowed to be scheduled for up to 3 months.

6.2. Select Weekly

  • Click Frequency, select Weekly. Once you select your start date, you can have the data extract job run on a weekly interval of X number of weeks or on specific days of the week.

Note: PowerSteering will let you set an end date but there is an additional limit on how long a data extract job can run automatically. This is to ensure that data extracts being sent automatically are reviewed and refreshed periodically. Data extract jobs set to the sending frequency of "Weekly" are allowed to be scheduled for up to 6 months.

6.3. Select Monthly

  • Select Frequency, select Monthly. Once you select your start date, you can have the data extract job run on a specific day on a monthly interval of X number of months or on a specific day of the month.

Note:  PowerSteering will let you set an end date but there is an additional limit on how long a data extract job can run automatically. This is to ensure that data extracts being sent automatically are reviewed and refreshed periodically. Data extract jobs set to the sending frequency of "Monthly" are allowed to be scheduled for up to 12 months.

7. Set Report Parameters

  1. Set default parameters applicable to the Custom Report template you selected.
  2. Click Save.

8. View Data Extracts

  • View the newly created custom report data extract under My Data Extracts. Data extract jobs associated with a Custom Report will have "Report" in the Type column.
