What are the phase advancement configuration options?

Phase advance defines when and which user(s) can request approval for, advance, and skip phases on a gated project. This article describes the phase advancement configuration options.

1. Click Phase Advance

  1. On the Icon Bar click the Admin button.
  2. Click Configuration to expand the menu, then click Phase Advance.

2. Skip button - Show to the following users when conditions are not met (Approval Required)

Skip button - Show to the following users when conditions are not met (Approval Required)
  • When a gated project has been configured with conditions that are required to be completed before requesting gate approval, there is an option that can allow a user to "skip" the approval process even if they haven't met the required conditions. The check box options allow you to select under what conditions a user can skip a project gate without approval. The Exclude if owner / approver options are only enabled if the Users with context permission "Advance Phase - Unrestricted" is selected. This provides for the possibility that someone may have the permission for other reasons but blocks them from taking the skip action on their own work.

Note: PowerSteering Administrators will not see the Skip button unless the Users with context permission "Advance Phase - Unrestricted" check box is selected.

2.1. Example

  • Eddie Haskel is a user with the context permission "Advance Phase - Unrestricted" and is not an approver, so he sees a Skip button on a phase that requires approval when conditions have not been met.

3. Advance button - Show to the following users when conditions are met (Approval Required)

  • Unlike the skip option, the advance option applies to gated projects that have been configured with conditions that are required to be completed before requesting gate approval, and those conditions have been met. The check box options allow you to select under what conditions a user can advance a project gate without approval. The Exclude if owner / approver options are only enabled if the Users with context permission "Advance Phase - Unrestricted" and/or the Users with context permission "Advance Phase - When Conditions Met" check boxes are selected. This provides for the possibility that someone may have the permission for other reasons but blocks them from taking the advance action on their own work.

  • When a gated project has been configured with conditions that are required to be completed before requesting gate approval, and those conditions have been met, gate approval can be requested. The check box options allow you to select under what conditions a user can request gate approval. The Exclude if approver option is only enabled if the Users with context permission "Advance Phase - Unrestricted" and/or Users with context permission "Advance Phase - When Conditions Met" check boxes are selected. This provides for the possibility that someone may have the permission for other reasons but blocks them from requesting approval for a gate for which they have been assigned as an approver.

5. Reject button - Show to approvers and additionally to the following users (Approval Required)

  • Once gate approval has been requested for a project, the gate can either be approved or rejected. Once a gate is rejected, the project status is updated to "Needs Attention" and the Request approval button appears again. The check box options allow you to select under what conditions a user can reject a gate approval request. The Exclude if owner option is only enabled if the Users with context permission "Advance Phase - Unrestricted" and/or Users with context permission "Advance Phase - When Conditions Met" check boxes are selected. This provides for the possibility that someone may have the permission for other reasons but blocks them from taking the reject action on their own work.

Note: PowerSteering Administrators will not see the Reject button unless the Users with context permission "Advance Phase - Unrestricted" and/or the Users with context permission "Advance Phase - When Conditions Met" check boxes are selected.
