How do I filter the allocation section?
Allocation is the top section of the Resource Review page. This is where you can view the users in PowerSteering and their effort and availability as an overall number or by project and task. You can also use this page to assign users to work. The filter tool allows you to limit the information that is displayed in the Allocation section. This can be very helpful when you only want to do resource management for a specific role, resource pool or project. This article describes how to filter the allocation section of the Resource Review.
Note: The allocation section can display 500 users at one time. If the filter results exceed this number, you will be prompted to revise the filter criteria. This threshold works for each filter independently, so if at least one of the filter's results exceeds 500 users, you will be prompted with the warning and further filtering will stop.
1. Click Filters
- Click Filters, select Allocation section. The page resource section will drop to reveal the filter options.
2. Select Filter Options
- Click to select your filter options for the allocation section.
Resource pool: This option allows you to choose any value, no value (for a null look up) or selecting a specific resource pool to display.
Role: This option allows you to return results for the role on the profile of a user, or on the work of a project, or both. The difference between the profile and role is that John Smith may not have a specific role assigned to his profile in PowerSteering, but he was assigned to be a team member on a project.
Users & Groups: This option allows you to select one or more individual users or groups to display.
Allocated to work on portfolio: This option allows you to select a portfolio that will then display all of the work and users associated with items in that selected portfolio. If a user has work assigned to them that is not part of the selected portfolio, but is within the selected timeframe, it will also display so you have the full picture of that user's effort and availability for the period. The display will also include dependent descendant works.
Allocated to project:This option allows you to select a specific project or set of projects that will then display all of the work and users associated to that project or set of projects. If a user has work assigned to them that is not part of the selected project(s), but is within the selected timeframe, it will also display so you have the full picture of that user's effort and availability for the period. The display will also include dependent descendant works.
3. Click Advanced Filters
- Click Advanced Filters link.
3.1. Select User Filters
- Click to select the user tags you want as filters for the allocation section of the Resource Review.
3.2. Select Work Tags
- Click to select the work tags you want as filters for the allocation section of the Resource Review.
4. Click Apply Options
- Click Apply options to save your filter selection and update the data displayed in the allocation section.
5. View Allocation Section
- View the data that is now displayed as a result of your applied filters.
