What does the Report Wizard Details & Schedule tab do?

The Details & Schedule tab allow you to name and save your report, as well as create a schedule when the report can be automatically generated and emailed to users, groups or outside contacts. This article describes how to use the Details & Schedule tab.

1. Click the Details & Schedule Tab

  • Click the Details & Schedule tab.

The Details & Schedule tab has several options that you can use to manage your report. Below is a description of the fields and options on the Details & Schedule page.

Name: This is the name of the report that will be displayed to you and other users should you make this report public.

Description: The description is optional but can be helpful for those that want to understand what the report will present.

Location: This is the location where your report will be saved. My Reports is the default selection for this field.

Default action: There are two options for this field. Run on Demand means that the report will be run each time a users wants to view the output. Retrieve from Last Run will display the output from the last time the report was viewed. Run on Demand is the default selection for this field.

Associate Excel template: If you use Excel to perform post-processing of data that you generate using the Report Wizard, you can facilitate this process by uploading your Excel template as a PowerSteering asset and have the data automatically sent to the template. This is where you would select a template for this report. See the article How do I create an associated Excel template? for information about creating Excel templates for reporting data.

Calendar: If applicable, this field will display any alternative calendars that have been loaded into PowerSteering.

Frequency: This option is used to schedule reports to run and send automatically. You can select a frequency of Daily, Weekly and Monthly.

2. Set Report Frequency

  • Click Frequency, select an option from the list.

2.1. Select Daily

  • Click Frequency, select Daily. Once you select your start date you have the option of selecting the report to run on a daily interval of X number of days or every weekday.

Note: PowerSteering will let you set an end date but there is an additional limit on how long a report can run automatically. This is to ensure that reports being sent automatically are reviewed and refreshed periodically. Reports set to the sending frequency of "Daily" are allowed to be scheduled for up to 3 months.

2.2. Select Weekly

  • Click Frequency, select Weekly. Once you select your start date you have the option of selecting the report to run on a weekly interval of X number of weeks or selecting specific days of the week when the report will run.

Note: PowerSteering will let you set an end date but there is an additional limit on how long a report can run automatically. This is to ensure that reports being sent automatically are reviewed and refreshed periodically. Reports set to the sending frequency of "Weekly" are allowed to be scheduled for up to 6 months.

2.3. Select Monthly

  • Select Frequency, select Monthly. Once you select your start date you have the option of selecting the report to run on a specific day on a monthly interval of X number of months or selecting a specific day of the month when the report will run.

Note: PowerSteering will let you set an end date but there is an additional limit on how long a report can run automatically. This is to ensure that reports being sent automatically are reviewed and refreshed periodically. Reports set to the sending frequency of "Monthly" are allowed to be scheduled for up to 12 months.

3. Identify Report Recipients

  • Once you set the frequency schedule for your report you need to identify the recipients for your report. You can select users or groups from PowerSteering or send to external email addresses.

Note: No access users with a valid email address will receive scheduled reports if they are selected or are part of a group that is selected to receive the report.

3.1. Click Email To

  1. Click Email to.
  2. Click Find, type a name or group.
  3. Click Go.
  4. Click on the name you want to add for this mailing list.
  5. Repeat steps 2 through 4 to add more names to your mailing list.
  6. Click Save.

3.2. Type External Email Addresses

  • Click the empty field below Email to, type the external email addresses that you want to add to your mailing list. Email addresses should be separated with a comma.

3.3. Select Format

  1. Click Format, select the format in which you want your report to be delivered.
  2. Select Zip Attachment to email the file in a zipped file format.

3.4. Type Message

Type Message
  • Click Message, type a few sentences that will accompany your report when delivered.
