How does the Work Status Change Agent Task work?

The Work Status Change Agent Task automatically adjusts the status of projects and/or milestones based on certain criteria. If the Work Status Change Agent Task is active:

  • When On Track work is past its due date, the status is changed to Needs Attention.
  • When Needs Attention work is a configured number of days past its due date, the status is changed to Delayed.
  • When Delayed work is a configured number of days past its due date, the status is changed to Off Track.

Note: The Work Status Change Agent Task works in one direction only. The agent task will not automatically change Off Track work back to an On Track status based on updated due dates.

1. Click Agents

  1. On the Icon Bar click the Admin button.
  2. Click Configuration to expand the menu, then click Agents.

2. Click Status Change

  • Click the Status Change hyperlink.

3. Click Work Status Change

  • Click the Work Status Change hyperlink.

4. Click Edit

  • Click Edit.

5. Edit Agent Task Details

  1. Edit agent task details.
  2. Click Submit.

Agent Task: The name of the task.

Is Active: Specifies whether the task is enabled.

Interval: Specifies how often the task runs.

Oldest Log Age: Specifies how long to retain agent task log entries.

First Run Time: Specifies the task's first run time.

Next Run Time: Specifies the task's next scheduled run time.

Expiration Date: Specifies when the task expires (if at all).

Parameters: Options specific to each agent task.

  • Apply the agent to: Specifies the type of work that will be affected by the agent (Milestones, Project Tasks, Tasks).
  • Include in addition to started work also: By default, this agent applies to all 'started' work (On Track, Needs Attention, Off Track). Select this option if you want the agent to also apply to Proposed and Not Started work. Affected Proposed and Not Started work will be changed to Deferred.
  • Number of days where status is set to Needs Attention before it turns to Delayed: When On-Track work is the specified number of business days past its due date, the status will be changed to Needs Attention. Note: If there is no number defined here, the status will be changed from On-Track to Off Track after the number of days defined in "Needs Attention (Delayed) before it turns to Off Track", without being changed by the agent to Needs Attention.
  • Number of days where status is set to Needs Attention (Delayed) before it turns to Off Track: When On-Track work is the specified number of business days past its due date, the status will be changed to Off Track.
  • Due date is based on: Specifies whether to derive the work's due date from its Planned End Date, the System End Date, or Baseline End Date.

6. View Agent Task

  • View agent task.
