Example Scenario 2: Annual Planning Alternative Portfolios

In this scenario we play the role of a portfolio manager who is asked to present two possible portfolios of projects to the board for the new year. The first portfolio will represent the best portfolio based upon the currently allocated budget. The second one is what would happen if a million dollars is cut from the budget. Assume that the portfolio manager already has a master portfolio set up that includes all carry over projects plus backlog projects for the upcoming year.

Create a Working Copy of the Portfolio

Click Portfolio

Click Portfolio

Select Copy portfolio.

Enter Portfolio Information

Enter Portfolio Information
  1.    Enter text in the Name of new portfolio field.
  2.    Enter text in the Description field (optional).
  3.    Click Switch to new portfolio checkbox to load dashboard upon creation.
  4.    Click the OK button.

Select the best set of projects based upon the known budget

Use the portfolio planning and filtering features to decide on the best projects for this budget

Create a snapshot of your results

Click Portfolio

Click Portfolio

Select Save items as new portfolio.

Enter Portfolio Information

  1.    Enter text in the Name of new portfolio field.
  2.    Enter text in the Description field (optional).
  3.    Click Switch to new portfolio checkbox to load dashboard upon creation.
  4.    Click the OK button.

Return back to the working portfolio and cut one million dollars from the target budget

  1. Enter numbers in the Value field.
  2. Click the OK button.

View New Target

View New Target

New targets are set. We have reduced the budget by one million and capacity by two FTE

Select projects to cut from the portfolio

Portfolio is now within budget of and FTE targets but we can see the benefits value has taken a major hit. Repeat the snapshot steps above and create the "Reduced budget scenario" snapshot.

  1. Click Browse.
  2. Select Portfolios.

Select Delete Option

  1. Click the drop down menu at the end of the portfolio name.
  2. Select Delete from the drop down menu.
